WhatsApp onboarding
Objective. Prepare your Meta Business Portfolio, WhatsApp account, credentials, templates, and ownership decisions before connecting a live WhatsApp number to Fluenta.
Prerequisites
- A Fluenta workspace owner account.
- A Meta Business Portfolio and a WhatsApp Business Account you control.
- A phone number eligible for the WhatsApp Business Platform Cloud API.
Build and test before Meta setup
You can design and simulate every workflow branch before connecting a WhatsApp number or configuring Meta. Start with the workflow simulator guide while the Meta-side work is in progress.
Prepare the Business Portfolio, WABA, and number
Use a Meta Business Portfolio that your business or client controls. Create or use its WhatsApp Business Account (WABA), then choose a phone number eligible for Cloud API registration. A number already registered to the WhatsApp consumer or WhatsApp Business app must be resolved in Meta before it can be used.
Create the manual credentials
Meta Embedded Signup is not available yet. Manual credentials are the current path: create a Meta app with WhatsApp added, then collect a permanent system-user access token, app secret, Phone Number ID, and WABA ID.
- 1In Meta app → WhatsApp → API Setup, copy the Phone Number ID, WABA ID, and a permanent system-user access token.
- 2In Meta app → App settings → Basic, copy the App secret.
- 3Keep those values private. Do not send them in a support request or add them to workflow content.
Save credentials and subscribe the webhook
- 1Open the bot editor, select Settings, then WhatsApp.
- 2Paste the Phone Number ID, permanent access token, app secret, and WABA ID into Meta credentials.
- 3Select Save credentials. Fluenta verifies the connection with Meta before completing the save.
- 4After saving the WABA ID, use Subscribe in the Meta app webhook card to subscribe the account to Fluenta’s shared webhook.
Submit message templates for approval
Create templates in Fluenta and submit them to Meta. Meta controls review and approval timing. Fluenta shows the status Meta returns; review any rejection feedback in Meta Business Manager, correct the template, and submit it again.
Understand ownership and billing
You keep ownership of the WABA and phone number in your Meta Business Portfolio. Meta bills its conversation charges directly to your Meta Business account; Fluenta does not resell, mark up, include, or pass through those fees. Review Fluenta’s separate workflow plans on pricing.
Plan a migration
Before moving an existing number, confirm the destination WABA and business ownership in Meta, document the current provider’s disconnect process, and schedule a transition that preserves customer communications. Fluenta cannot transfer Meta ownership for you; complete each Meta-required step with the account owner.
Common errors
- Meta rejects the credential save.
- Check that the Phone Number ID and permanent system-user token belong to the same Meta app and that the token has not expired. Save the corrected values again.
- The phone number is already registered to a WhatsApp app.
- Resolve the existing registration in Meta and use a number eligible for Cloud API registration before trying again.
- Subscribe is disabled or templates are unavailable.
- Save the WABA ID, then return to the Meta app webhook card. The WABA ID is required for subscriptions, templates, and analytics.
- A template is rejected.
- Read Meta’s rejection feedback in Meta Business Manager, update the template, and submit it again. Fluenta cannot promise Meta’s review time.
